Lesson 2: Complete Your Moka Account

As you have prepared the necessities in Lesson 1: What to Prepare, this section will guide you to complete your account information.

Follow the steps below to complete your account in Moka backoffice. You can also jump to the specific topic you want to learn by clicking it:

 

How to Login to Moka Backoffice

In Moka backoffice, you as the owner or store manager can access all reports and configure settings that will apply to the Moka Application. You can open Moka backoffice through a browser on your computer or mobile phone.

The Moka App is intended for cashier staff to manage transactions in the store, accessed from a tablet. So, not all settings can be done in the App because access is limited to the needs of cashier staff. To configure the appearance of the App, do so through the backoffice. Follow the steps below to enter the Moka backoffice: 

  1. Open the Moka backoffice
  2. Fill in your login details
    • Note: If you forget your account e-mail, contact Moka Customer Support via e-mail (support@mokapos.com) or telephone (1500 970 [press 2]).
  3. Fill in your password in the Password field.
    • Note: If you forget your account password, click Forgot Password. Fill in the email account or verified number in the Email or phone number column, then click Find Account. You will be sent further information via email or SMS.
  4. Click Sign In.

 

How to Activate E-Wallet in Payment Method

Payment Method is a page to activate several types of e-wallet payment methods and see each of their statuses. To allow your customers to pay by e-wallet (example: Gopay, OVO, FUND, LinkAja, Kredivo, Akulaku, Alipay, WeChat Pay), see the following video tutorial on how to activate e-wallet:

 

How to Complete Account Information

Account is a page for writing general information about the owner and business profile. To fill in personal data, business address, NPWP, verify phone number or email, and change your password, follow these steps:

  1. On the backoffice menu, click ACCOUNT SETTINGS, then select Account.

Personal Details

  1. In the PERSONAL DETAILS section, click Edit.
  2. In the Name as shown on ID Card (KTP) field, make sure your name matches the name in your KTP.
  3. In the Phone field, make sure the number is your personal number that is active.
  4. You can't change your Moka account email, so make sure you fill in the email you are actively using for your business.
    • Note: If you need to change your account email, contact Moka Customer Support via email (support@mokapos.com) or telephone (1500 970 [press 2]).
  5. When you have finished filling, click Save. 

Verify Personal Details

  1. In the PERSONAL DETAILS section, click Verify Now to verify your mobile number or email.
  2. Check your SMS or email inbox for the verification code.
  3. Record and enter the code in the Kode OTP field.

Business Info

  1. In the BUSINESS INFO section, click Edit to fill in the full business address.
  2. Make sure to fill in your business address details from Business Name to Postal Code accurately.
  3. When you have finished filling in your business details, click Save.

NPWP

  1. In the NPWP (OPTIONAL) section, click Edit. Although optional, it is recommended that you fill this in, in order to facilitate the registration of payment methods.
  2. Upload a photo of your NPWP.
  3. In the Name on NPWP field, write the name according to the NPWP.
  4. In the NPWP Number field, write the NPWP number without any punctuation marks.
  5. When you have finished filling in your NPWP details, click Save.

Password

  1. In the PASSWORD section, click Edit if you want to change your password.
  2. In the Old Password field, type the old password for your Moka account.
  3. In the New Password field, type the new password, then repeat in the Retype New Password field. Make sure the passwords in the two fields are the same.
  4. When you have finished updating your new password, click Save.

 

How to Add and Manage Outlets

If your business has more than one store, you can register your branch on the Outlets page. Make sure your branch address is accurate when you register. Follow the steps below:

  1. At the backoffice menu, click ACCOUNT SETTINGS, then select Outlets.

Add Outlet

  1. Click Add Outlet.
  2. Determine the number of outlets you want to add.
    • Note: A detailed fee for adding outlets will appear.
  3. Click Pay.
  4. Enter the outlet name, outlet telephone number, and complete outlet address.
    • Note: Example of complete address format: Kencana Tower, Business Park Kb. Jeruk, Jl. Meruya Ilir Raya No.10, RT.1/RW.5, Meruya Utara, Jakarta, Kota Jakarta Barat, Daerah Khusus Ibukota Jakarta 11620.
  5. When you have finished entering the outlet information, click Save.

Manage Outlet

  1. Click the name of the outlet you want to set.
  2. You can change the name of the outlet, telephone number of the outlet, and address of the outlet you select.
  3. When you have finished updating, click Save.

 

How to Add and Manage Bank Accounts 

On the Bank Account page, you can set bank accounts for all outlets and determine the recipient bank account for e-wallet settlement. Make sure your account information is correct and accurate to ensure accurate settlement of receipts and Moka subscription payments, so that your services continue to run smoothly. You can also use a different bank account for each outlet. Follow the steps below: 

  1. On the backoffice menu, select ACCOUNT SETTINGS, then select Bank Account.

Add Bank Account

  1. Click Add Bank to add the recipient's account.
  2. In the Bank Name field, select your bank account branch.
  3. In the Account Number field, enter the account number without any punctuation marks.
  4. In the Account Holder field, type the name of the account holder.
  5. At the ASSIGNED OUTLETS section, click Assign Outlet to select an outlet that matches the recipient's bank account. Then, click Assign.
    • Note: Newly established outlets will have a New label.
  6. Enter the OTP code sent on the mobile number registered in your Moka account.
    • Note: The OTP code is only needed once when you assign a bank account to an outlet.
  7. When you have finished all the steps above, click Save.
  8. You will know that you have successfully added a bank account when the following writing appears: Bank account successfully updated.

Manage Bank Account

  1. Click the bank account that you want to reset.
  2. In the Bank Name column, change the bank account branch based on the updated branch.
  3. In the Account Number field, enter the account number without any punctuation marks.
  4. In the Account Holder field, change the name of the correct account holder.
  5. At the ASSIGNED OUTLETS section, click Assign Outlet to select an outlet that matches the recipient's bank account. Then, click Assign.
  6. When you have finished filling in the details above, click Save.
  7. You will know that you have successfully added a bank account when the following writing appears: Bank account successfully updated.

 

How to Complete Your Public Profile

To fill in general information about your business profile on the Public Profile page, follow these steps:

  1. In the backoffice menu, select ACCOUNT SETTINGS, then select Public Profile.
  2. Your business name and outlet address are auto-filled based on settings in Account. To replace it, see the Business Info section.
  3. In the logo image field, click Edit. Upload a business logo, then click Open.
    • Note: The image you upload must be 140x140px (1: 1 ratio, max. 240 KB size). This logo will be applied to all outlets. You cannot use a different logo for every outlet.
  4. Write a description of the outlet (if any), a phone number that customers can contact, and your business email address.
  5. At the LINKS section, you can enter your site address as well as your business's Twitter, Facebook and Instagram accounts.
  6. When you have finished filling the public profile information, click Save.

 

How to Modify the Receipt Template

To modify the look for your receipt, follow the following steps:

  1. At the Backoffice menu, go to ACCOUNT SETTINGS, then select Receipt.
  2. Select which outlet receipt you want to modify.
  3. At the OUTLET INFO section, enter the outlet name, outlet address, and outlet phone number.
  4. At the NOTES section, you can fill in additional notes that you want to add, for example WiFi password, Terms & Conditions, etc.
  5. When you have finished adjusting the receipt details, click Save.

 

How to Apply Additional Taxes and Gratuity, Rounding, Stock Limit, and Track Server

At the Checkout page, you can set taxes, gratuity, rounding payments, tracking employees, and stock limits. Follow these steps below: 

  1. In the backoffice menu, go to ACCOUNT SETTINGS, then select Checkout.

 

Taxes and Additional Fees

  1. At the TAX AND GRATUITY SETTINGS section, you can activate taxes by clicking the ON / OFF button in the Enable Tax section and activating additional costs by clicking the ON / OFF button in the Enable Gratuity section.
    • Include Tax and Gratuity to Item Price: The price to be included in the Item Library or goods is the price that includes taxes and desired additional costs.
    • Add Tax and Gratuity to Item Price: The price that will be listed on the Item Library or goods is the price before taxes and additional fees. Taxes and additional fees specified will be automatically added to the customer's bill on the receipt.
  2. When you've finished setting up tax and gratuity, click Save. 

Rounding

  1. At ROUNDING SETTINGS, activate price rounding by clicking ON / OFF in the Enable Rounding section.
    • Rounding Digits are options for rounding in multiples of hundreds or thousands.
    • Rounding Down Below is a column to determine in what number will be rounded.
  2. When you've finished setting up the rounding, click Save.

Stock Limit

  1. At the STOCK LIMIT section, you can enable notifications on the Moka App when your stock is running low by clicking the ON / OFF at the Enable Stock Limit section.
  2. Click ON at Allow Override if you allow your cashier to be able to continue the transaction even though the stock of your item is running low or out of stock in the Moka stock record.
  3. When you've finished setting up the stock limit, click Save.

 Employee Tracking

  1. At the OTHER SETTINGS section, you can activate Track Server by clicking ON / OFF to find out the working hours of your employees.
  2. When you've finished setting the employee tracker, click Save.

 

How to Set Up Email Notifications for Reports and Promos

At the Email Notification page, you can set how you want to receive various Moka reports and promos via email. To set up email notifications, follow these steps: 

  1. At the backoffice menu, go to ACCOUNT SETTINGS, then select Checkout.
  2. Adjust MANAGE EMAIL NOTIFICATION settings:
    • Daily Sales Summary: Daily email containing summary sales report.
    • Inventory Alerts: Email notifications when inventory is running low or empty.
    • Promo Update Notification: Email notifications when there is the latest promo from Moka.
  3. At the MANAGE RECIPIENT ALERT EMAIL section, select Add Email Recipient to add recipients for the email notification.
  4. Enter the email address where you want to receive email notifications, then click Confirm.
    • Note: Every time you add an email, you will be asked to verify it. Make sure you check your email inbox and click VERIFY EMAIL.
  5. When you have finished setting up email notifications, click Save.
